Position: Part-Time Office Manager
Location: Fort Washington, PA
Hours: 15 hours per week (flexible schedule)
Job Summary
We are seeking a detail-oriented and highly organized Office Manager to join our team on a part-time basis. The ideal candidate will have excellent communication skills, both written and verbal, and will be able to manage their own consistent schedule. This position offers the flexibility to work 15 hours per week in our Fort Washington, PA office.
Key Responsibilities
Front Desk & Client Relations
- Greet patients and families warmly, ensuring a professional and welcoming environment.
- Answer phone calls and emails, responding to inquiries and scheduling appointments.
- Assist with new patient intake, including collecting forms and insurance information.
- Communicate effectively with clients, therapists, and other staff members.
Scheduling & Coordination
- Manage therapist schedules and coordinate patient appointments.
- Handle cancellations, rescheduling, and appointment reminders.
- Communicate scheduling changes effectively with therapists and clients.
Billing Processing
- Collect and record payments, copays, and outstanding balances.
- Generate invoices and reconcile billing records.
Administrative Support
- Maintain organized electronic medical records (EMR) and paperwork.
- Ensure all Releases of Information (ROI) forms and patient documents are filed correctly.
- Order office and therapy supplies as needed.
- Provide support for various office projects as needed.
Practice Management Assistance
- Manage day-to-day office operations to ensure a smooth workflow.
- Assist with marketing efforts (e.g., social media updates, newsletters).
- Support therapists with documentation and correspondence.
- Help coordinate staff meetings and maintain practice policies.
- Ensure the office environment is organized and well-maintained.
Qualifications
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Ability to create and manage a consistent schedule independently.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
- Previous experience in an office management or administrative role preferred.
- Friendly and professional demeanor with the ability to interact with clients and team members effectively.
- Ability to handle multiple tasks and prioritize workload efficiently.
